Coach Timeline

I’ve Decided to Coach, Now What?

Thank you for stepping up and becoming a coach and being a role model for youth soccer players at BASC!
Below is a general overview of when and what needs to be done to be ready to coach this season.
This is not an all inclusive list, but a general overview of tasks that are the most timely.

REGISTER AND COMPLETE RISK MANAGMENT

Needs to be done as soon as you decide to coach

All Head Coaches, Assistant Coaches, and Managers are required to complete the following four (4) tasks. These are mandatory in order to be a BA Soccer Coach or Manager. All are free to complete.

Coach Registration – Completed Seasonally. **Must complete the coach registration first in order to move on to the next 3 steps.**
Background Check
– Completed Yearly
SafeSport – Completed Yearly
Heads Up Concussion Training – Completed Yearly

REQUEST PRACTICE FIELD

Email will go out to all registered Head Coaches 2-3 weeks before the Coach meeting.

Once received, ALL coaches will need to request their practice field days and location. Practice fields must be requested each season. Even if you are a returning coach. An email will go out to registered coaches, along with it being posted on the website here.

If you will not be utilizing a BASC practice field, click here for details on the process.

ATTEND MANDATORY COACH MEETING

Usually 4—6 weeks before the season starts. Date and time will be posted on website here.

Each season, BASC hosts a Coaches meeting for all coaches. Preliminary rosters are released to coaches that have completed the required training and have been added to their team’s roster (Do NOT contact players from this roster, you will receive an email once final rosters are ready. At that time, you can contact players.)

Follow this link to learn what is discussed and when the next meeting will be.

If you are starting after the coach meeting, then you will need to read through the Coach Meeting PowerPoint that can be found at the link above.

CHOOSE YOUR TEAM NAME

This can be done before or after the Coaches Meeting.

Every U6 – U19 recreational team has a general layout for their team’s name (Team Name – Head Coaches Last Name). Your team’s name is yours to choose. You can ask your players or choose it yourself. Once you have decided on a team name, email it to registration@basoccer.club and copy coach@basoccer.club and one of them will update GotSport. If you are taking over an existing team, you are welcome to change the name as well, just keep in mind that depending on how long the team has been together, they may have existing uniforms that you could just have the new players purchase. This could save time and effort and make it where the whole team does not have to purchase new uniforms.

CHOOSE YOUR TEAM UNIFORMS

This can be done before or after the Coaches Meeting, but before your first practice.

As BASC is a volunteer-based organization, each coach is given the opportunity to choose their team’s uniform. If you are coaching a U7 or older team, you will need to decide on a uniform and have the information ready to give parents when you first communicate with them. This way they have time to get the uniforms ordered before the season starts. See the Uniform Policy here.

RECEIVE OFFICIAL ROSTER / START PRACTING

Usually a week or two after the Coach Meeting

Once you receive the email from the club saying your roster is finalized, you can start contacting your players. At this time, you will let them know when and where practices are and where to order their uniforms. If you don’t already have one, try to find an assistant coach and/or team manager during this time.

There are many ways to communicate with your players. Initially, you will need to either call, text, or email them. Once the lines of communication have been opened, you can stick with emailing and text messaging, or you can use other options. There are many free apps that are available for use. BAND, TeamSnap, GroupMe, and Remind are just a few.

ENTER BLACKOUT DATES

An email will be sent (usually included in the Official Roster email) to all registered coaches with instructions on how to enter their dates.

Each season, coaches get days they can indicate in GotSport as no play dates for their team for the upcoming season.

CLOSED LEAGUE (U6-U12) get 2 blackout days
OPEN LEAGUE (U14-U19) get 4 blackout days

Know that each date is a separate Day. If you choose Saturday as a blackout date, you will most likely have a game scheduled on Sunday of that week. You have to choose both Saturday and Sunday to get the full weekend off.

In the spring, games will be scheduled both weekends of Spring Break. Games will not be scheduled at ISSC on Easter Sunday or during tournaments.

In the fall, games will be scheduled on fall break weekend. Games will not be scheduled at ISSC during tournaments.

If you are in the closed league (U6-U12), you will not have to use blackout dates for tournament weekends at ISSC . If you are in the Open League, on ISSC tournament weekends, you may be scheduled away games.

Tournament weekends can be found by scrolling through the months on the BASC website calendar.

PRINT THESE ITEMS

Before each season, you will need to have the following items printed out and kept on you at all times during team events. Instructions on how to do so can be found in the Games section of Coaches Corner

Official Roster

Printed or Virtual Coach Pass (All Ages)

Printed or Virtual Player Passes (U9-U19)

Player Medical Releases

LEAGUE SCHEDULE

Each season, a preliminary schedule will be released 1-2 weeks before the season starts. This is the Head Coaches chance to move games before the season starts if they coach more than one team and there is a game time conflict at ISSC. All other games will need to be rescheduled once the schedule is released as final (usually a few days after the preliminary schedule is released). The final schedule can be found on the website here. You can also review your schedule in your GotSport team account

LEAGUE RULES

Before the season starts, be sure to review the league rules for your age group. Rules can be found here.

GAME CARD

A day or two before each game, you will need to print out the game card. Each coach is required to bring a printed game card to every game and give to the Referee. At the end of the game, the Referee will return a game card to each coach. The winning coach is responsible for entering the score within 48 hours. If not entered, the losing coach can enter the score after that time.

Each player has to have an unique number and it must be on the Game Card. You can either write them in before each game, or enter them into GotSport and they will automatically print with each game card.

CORNER FLAGS

Before each U9 – U19 league game or scrimmage, the “Home Team / Coach” is responsible for retrieving, putting out on field, and returning corner flags to their designated location. If you are the last game of the day, or there is not another team getting ready to take the field when your team is leaving, please make sure to pick up the corner flags and return them to the shed. Get shed info here.

RESCHEDULING GAMES

If you need to reschedule a game, you will need to contact the other coach and decide on a new date and time frame in writing and then request the reschedule via the online form within the reschedule timeframe. Click here for details.

WEATHER

For Practice, use your best judgement. For events at ISSC, refer to the Field Status page on the website to see if your field has been closed. Field Closures are updated on the website as soon as possible after the webmaster receives them. If impending weather (thunderstorm) is approaching ISSC, the decision to play/cancel will be a game time decision. Review the BASC Inclement Weather Policy here.
